Almost everyone brings food and nobody brings serving spoons. Add a "Supplies" category with slots for serving utensils, paper plates, napkins, cups, and trash bags. Assign them like you would a dish.

Ask neighbors about allergies and dietary preferences before finalizing the category list. Add at least one clearly labeled vegan slot, one gluten-free slot, and one nut-free slot. When someone claims a dish, they can note allergens right in the planner.
Try a theme to make it fun and reduce duplicates. "Soup and bread night" means every main is a soup. "Taco bar" means neighbors fill in different taco components. Adjust your categories to match the theme.
Remind neighbors that hot dishes should stay above 140°F. Insulated carriers work well for transport. If your potluck is outdoors, plan for chafing dishes or slow cookers that can plug in nearby.
Set a signup deadline of two days before the event. This gives you time to fill any empty slots with a quick message to the group. The share link makes it easy for neighbors to check what's still open.
Not everyone checks email or group chats. Hit the print button to get a clean signup sheet. Post it at the mailboxes, community board, or front desk. You can add their dish to the board manually.
